If Google Tag Manager is configured on the website, it loads with consent settings initially set to denied. These settings are updated according to your analytics and advertising choices. Data collection also depends on the Google Tag Manager container's configuration.

You can delete or restrict cookies and website data in your browser settings. Blocking browser storage may prevent your basket contents or preferences from being retained for your next visit.

The website code removes URL query parameters and fragments from Vercel Web Analytics page views. Enquiry, form and search contents are not sent through this analytics function. Administration, API and payment pages are excluded from public visitor statistics.

Data processed

technical website visit data and usage statistics;

enquiry contents, selected products, equipment and site details, and files you attach;

name, telephone number and email address;

the site or agreed delivery address and on-site contact details;

company details and the representative's or private customer's details requested by the form, including a personal identification code where required by that form;

details of agreed orders, invoicing and payments; the website's enquiry forms do not request payment card details or accept purchase payments;

customer support correspondence and online consultant chat contents, if you use these services.

Purposes of processing personal data

to better analyse website use.

Session information is processed to obtain analytical insights for improving the website.

Personal data is used to respond to enquiries, prepare quotations, fulfil agreed orders, and organise installation, maintenance, repairs or delivery.

Enquiry and agreed order details are used to manage customer communications, selected products and services, and invoicing.

If a refund is needed in connection with an agreed order, the details needed for the refund are requested separately. The website does not provide customer accounts or a purchase payment form.

Personal data such as email address, telephone number and customer name is processed to resolve matters relating to the supply of goods and services (customer support).

Technical network and request data may be processed to operate and secure the website, limit misuse and compile visitor statistics.

Legal basis

Enquiry and order data is processed at the customer's request before entering into a contract and to perform an agreed contract.

Personal data is processed to fulfil legal obligations, such as accounting and resolving consumer disputes.

Recipients of personal data

Külminaator OÜ staff use enquiry and order data to respond to customers, arrange quotations or work, and resolve customer issues.

The customer's name, telephone number and email address are shared with the chosen transport provider. For courier deliveries, the customer's address is also shared.

The Online Store's accounting is carried out by a service provider. Personal data is shared with that provider for accounting purposes.

Personal data may be shared with information technology service providers where necessary for Online Store functionality or data hosting.

Security and access to data

The new website runs on Vercel. Website content and enquiry attachments are stored in Sanity; enquiry data is saved in the web application's database and emailed to Külminaator OÜ and the person making the enquiry. The configured mail service is used to deliver these messages. Website data is therefore not stored solely on Zone's servers.

Külminaator OÜ staff and the necessary technical service providers can access data to the extent needed to handle enquiries and operate the website. When you use the online consultant, chat contents are sent to the configured AI service provider to prepare a reply. Do not include sensitive personal data in the chat.

The Online Store applies appropriate physical, organisational and IT security measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised access and disclosure.

Personal data is shared with the Online Store's processors, such as transport and hosting providers, under agreements between the Online Store and those processors. Processors must provide appropriate safeguards when processing personal data.

Accessing and correcting personal data

To access or correct your personal data, contact Külminaator OÜ at epood@kylminaator.ee. The website does not provide a customer account or user profile area.

Withdrawing consent

Where personal data is processed on the basis of consent, the customer may withdraw consent by emailing customer support.

Retention

Contact customer support if you wish to request deletion of your enquiry data. Data that must be retained for accounting or resolving a dispute is not deleted before the relevant retention requirement ends.

The history of agreed purchases is retained for three years; accounting and dispute-related data is subject to the periods described below.

For payment and consumer disputes, personal data is retained until the claim is satisfied or the limitation period expires.

Personal data required for accounting is retained for seven years.

Deletion

To request deletion of personal data, email customer support. A response will be provided within one month, specifying the deletion period.

Data portability

Requests for personal data portability submitted by email will receive a response within one month. Customer support verifies identity and identifies the personal data that can be transferred.

Direct marketing messages

Email addresses and telephone numbers are used for direct marketing where the customer has consented. Customers who do not wish to receive direct marketing should use the link in the email footer or contact customer support.

Where personal data is processed for direct marketing (profiling), the customer may object at any time to initial and further processing, including profiling related to direct marketing, by emailing customer support. The relevant information must be presented clearly and separately from other information.

Dispute resolution

Disputes concerning personal data processing are handled by customer support at epood [att] kylminaator.ee. The supervisory authority is the Estonian Data Protection Inspectorate (info [att] aki.ee).
